Odoo For Law Firms

Bay Forward configures Odoo into a single financial and operational system for law firms, from solo practices to multi-office partnerships. We connect it to your practice management platform instead of trying to replace it.

Law Firms Run on Two Systems That Rarely Talk

Most firms run matters, case files, and court deadlines in dedicated legal practice management software, such as Clio, MyCase, or PracticePanther, and firm financials, trust accounting, and multi-office consolidation in disconnected accounting tools or spreadsheets that were never built for a law firm’s fiduciary obligations.
Odoo does not fix this by becoming your case management system.

Odoo Law Firm ERP Expertise

Bay Forward delivers eight tightly scoped capabilities for law firms, all built on Odoo.

Law Firm Odoo Implementation

We scope, configure, and deploy Odoo around real firm and matter workflows. The engagement covers discovery, module configuration, data migration, staff training, and a go-live readiness review before anything touches live client work. Our standard approach favors standard Odoo features first and reserves custom development for the workflows that genuinely need it.

Client Intake, CRM, and Conflict Checks

We configure CRM pipelines for lead intake, client onboarding, engagement letter management, and conflict-of-interest checks against existing client and matter records before a new engagement is accepted. Automated task creation and milestone tracking keep intake standardized across every practice group, not just the ones a managing partner watches closely.

Time Tracking and Matter Billing

We build matter-linked timesheets with billable rate structures, approval workflows, and automated invoice generation from approved time. Attorneys capture 300 to 500 fewer hours per year than they work, according to Clio’s research, so we configure timers and reminders to make same-day time entry the default, rather than relying on month-end memory.

Trust Accounting and IOLTA Compliance

Requested, priced, approved, billable. Nothing reaches the field unapproved, and nothing approved goes unbilled at closeout. Subcontracts and POs register committed cost on issue, not on invoice.

Document Management and Client Workspaces

We configure secure, matter-linked document workspaces with indexing, version control, access permissions, and eSign for engagement letters and client authorizations. Case documents and correspondence stay organized and out of email threads, with audit-ready trails.

CPA-Led Firm Accounting

Our certified accountants run bookkeeping, bank reconciliation, multi-partner and multi-office consolidation, and audit-ready financial reporting directly inside Odoo. For firms with multiple offices or practice groups, that means each entity closes cleanly and consolidates in real time.

Practice Management Platform Integration

We integrate Odoo with Clio, MyCase, PracticePanther, and similar practice management platforms, so matter data, time entries, and billing flow between systems without manual re-entry. Integration is usually the hardest part of any legal technology project, and we treat mapping, validation, and reconciliation as first-class work rather than an afterthought.

Analytics and
Reporting

We build operational and financial dashboards inside Odoo, then pipe Odoo data into Power BI through our data engineering team for partner-level reporting on realization, matter profitability, and trust account balances.

What We Manage in Odoo for Healthcare

Common Workflow Problems We Fix

Unbilled hours nobody catches until the month is over

We build realization dashboards that surface unbilled and uncaptured time by attorney and matter weekly, not at month-end reconciliation. The gap between hours worked and hours billed is an administrative problem, and administrative problems are what dashboards are for.

Trust account discrepancies discovered too late

We build the three-way reconciliation directly into the monthly close, so a mismatch between the bank statement, the trust ledger, and client sub-ledgers surfaces the same month it happens, not at the next bar audit.

Revenue leakage between matter work and billing

We connect timesheets directly to invoicing so every billable hour, flat fee, and retainer draw becomes a billing event automatically. Nothing billable slips through the gap between the attorney and the finance team.

Multi-office or multi-partner firms that cannot be consolidated

We run each office or practice group with shared master data, such as client lists, matter templates, and staff records, while keeping partner-level financials properly separated and consolidated in real time.

Compliance gaps discovered during a bar audit

We design trust ledger controls, access logging, and documented reconciliation procedures before go-live. Finding a discrepancy when a bar examiner asks for your trust records is the expensive way to learn this lesson, since bar rules do not require proof of harm, only proof of compliant systems.

Why Work With Bay Forward

The firm was founded in 2014 by two former PwC CPAs, and that finance-first DNA runs through every law firm build we ship, because we understand fiduciary accounting from the inside, not just Odoo configuration. We are an Odoo Silver Partner with 520+ clients served across 1,400+ projects, delivered by 200+ professionals across the US, Canada, Ireland, Belgium, and Saudi Arabia.
Four proof points matter most in law firm work specifically:

CPA-led trust
accounting

The trust ledger and three-way reconciliation are designed correctly at implementation, not patched in after a bar audit finds a gap. Most Odoo partners have never reconciled an IOLTA account.

In-house data
engineering

With AWS, Azure, and Databricks capability on staff, your Odoo data flows into governed pipelines and analytics rather than dead-end reports.

Enterprise ERP
heritage

Our team’s Oracle and NetSuite experience informs how we govern multi-entity healthcare groups, consolidation, and audit readiness.

AI-assisted
accounting

Our OneClickBooks capability, built by Bay Forward CPA, accelerates transaction entry, reconciliation, and close for finance teams running lean, including yours.

Data Governance and Client Trust Realities

Odoo is not IOLTA-compliant out of the box. Standard Odoo lacks per-client trust ledgers, three-way reconciliation, and the recordkeeping required by ABA Model Rule 1.15 and your state bar. Bar regulators evaluate competence, and failure to demonstrate proper fund segregation can itself be a violation. We keep case-sensitive documents in a secure client portal, using Odoo as the governed financial layer around your practice management platform. This reduces the sensitive-data footprint inside the ERP and shrinks your compliance surface for every bar audit.
Bay Forward builds toward Rule 1.15 and IOLTA readiness deliberately:

Trust ledger structure

Individual client ledgers inside Odoo Accounting, kept strictly separate from operating funds, with no commingling, the single most common and most serious trust accounting violation.

Three-way reconciliation

A monthly workflow matching the bank statement balance, the trust ledger balance, and the sum of every client’s individual ledger, the exact test bar examiners apply.

Access control

Unique user IDs and role-based access so trust disbursements require proper authorization, with no shared logins to obscure who approved what.

Audit logging

A complete record of receipts, disbursements, and reconciliations for every matter, retained for the baseline five years ABA Model Rule 1.15 sets, or longer where your state requires it, some states, such as North Carolina, require six.

Confidentiality

Access controls and document permissions structured around ABA Model Rule 1.6’s confidentiality obligations, alongside the fiduciary duties Rule 1.15 imposes on client funds.

Law Firm Odoo Questions, Answered

Not by default. Odoo can support Rule 1.15 and IOLTA obligations when it is configured with per-client trust ledgers, monthly three-way reconciliation, role-based access, and complete audit trails. Bay Forward builds those safeguards in rather than assuming them.

No, and it does not need to. Odoo is the financial and operational ERP layer. We integrate it with platforms such as Clio, MyCase, and PracticePanther so matter management and case files stay where your team already works, and billing, trust accounting, and firm financials stay governed in Odoo.

Scope drives the timeline. A single-office firm typically runs a few months, and multi-partner or multi-office firms run longer. We give a firm estimate after discovery rather than a number off a rate card.

Yes. Odoo supports multi-company setups where each office or practice group shares master data, such as client lists and matter templates, while keeping partner-level financials properly separated and consolidated in real time.

CRM and Project for client intake and matter management, Timesheets for billable hours, Accounting for trust ledgers, three-way reconciliation, and firm financials, Documents and Sign for client workspaces and eSign, and Purchase and HR where the firm needs them, plus custom modules and integrations where a workflow genuinely requires them.
