Odoo ERP for Healthcare Providers
Bay Forward configures Odoo into a single operational and financial system for clinics, diagnostic labs, pharmacies, and multi-site provider groups. We connect it to your EMR instead of trying to replace it.
Your partner in building smarter, scalable digital systems for long-term success
Bay Forward is an ERP consulting firm, not a staffing agency. We do not place bodies and bill hours. We scope outcomes and deliver systems.

Healthcare Runs on Two Systems That Rarely Talk
Most providers run clinical work in an EMR and everything else in disconnected billing tools, spreadsheets, and standalone inventory software. Administrative complexity is the single largest driver of waste in US healthcare, and duplicate data entry, delayed reconciliation, and untraceable claim rejections are the operational face of that cost.
Odoo does not fix this by becoming your EMR. It becomes the operational and financial backbone that connects scheduling, billing, inventory, procurement, HR, and reporting, then exchanges data with your EMR through HL7 v2 and FHIR R4. Clinical records stay in the certified EMR. Odoo governs the money, the materials, and the operations around them.
Odoo Healthcare ERP Expertise
Bay Forward delivers eight tightly scoped capabilities for healthcare organizations, all built on Odoo.
Healthcare Odoo Implementation
We scope, configure, and deploy Odoo around real clinical and administrative workflows. The engagement covers discovery, module configuration, data migration, staff training, and go-live readiness before anything touches live operations. Our approach favors standard Odoo features first, reserving custom development for workflows that genuinely need it.
Patient Scheduling and Portal Configuration
We configure the Odoo Appointments module for online booking, provider availability, and automated reminders. A Cochrane review of 6,615 participants found text message reminders increased attendance from 67.8 percent to 78.6 percent. We also configure a patient portal for intake forms, document upload, and self-service access.
Revenue Cycle and Medical Billing
We build charge capture that pulls from clinical activity, insurance verification, claim generation with ICD-10 and CPT coding, denial management dashboards, and accounts receivable aging inside Odoo Accounting. This is where our finance heritage earns its keep, and where most generic Odoo shops fall short.
Pharmacy and Medical Inventory
We enforce lot and serial tracking, expiration dates, and First Expired First Out picking using Odoo’s Force Removal Strategy field set to FEFO at the product category level. We layer tiered expiry alerts, automated destroy and return queues for expired stock, and controlled-substance logging so dispensing stays traceable and audit-ready.
Laboratory and Diagnostics Workflows
We configure test catalogs, sample intake, result capture with reference ranges, and portal delivery of results. Where a lab runs instruments or a dedicated LIMS, we integrate them so results flow into billing and the patient portal without manual transcription.
EMR and Third-Party Integration
We integrate Odoo with EMR and EHR platforms, laboratory systems, and payer APIs using HL7 v2 for event-driven messaging and FHIR R4 REST APIs secured with OAuth 2.0. Integration is usually the hardest part of any health IT project, and we treat mapping, validation, and reconciliation as first-class work rather than an afterthought.
CPA-Led Healthcare Accounting
Our certified accountants run bookkeeping, bank reconciliation, multi-entity consolidation, and audit-ready financial reporting directly inside Odoo. For clinic networks, that means each entity closes cleanly and consolidates in real time.
Analytics and
Reporting
We build operational and financial dashboards inside Odoo, then pipe Odoo data into Power BI through our data engineering team for board-level reporting across service lines, payer mix, and receivables aging.
What We Manage in Odoo for Healthcare
Patient Management
Manage patient and contact master data with role-based visibility, portal intake, and secure access to records.
Appointments & Billing
Schedule appointments, automate reminders, and manage consolidated billing across consultations, lab tests, pharmacy, and procedures.
Insurance & Pharmacy
Verify insurance, submit and track claims, and manage pharmacy inventory with expiry alerts and lot-level recall traceability.
Supply Chain Operations
Manage procurement, vendors, medical supplies, device serialization, and consumable inventory from purchasing through distribution.
Workforce & Multi-Entity Management
Coordinate HR, provider scheduling, payroll, and multi-entity, multi-currency operations across clinic and laboratory networks.
Reporting & Analytics
Monitor operational and financial performance with real-time dashboards and optional Power BI reporting.
Claim rejections nobody can trace
We build denial dashboards that break rejections down by payer, denial code, and provider, so recurring patterns surface within a week instead of after a quarterly audit. Root-cause visibility is what actually reduces denials, not more manual resubmissions.
Expired stock and stockouts at the same time
We enforce FEFO picking with expiry alerts at defined thresholds so slow-moving lots get transferred or discounted before they expire, while high-velocity items get replenished on time. Expired inventory routes automatically to a destroy or return queue for proper disposal.
Revenue leakage between care and billing
We connect charge capture to clinical events so every billable consultation, test, procedure, and prescription becomes a billing event. Nothing billable slips through the gap between the clinic and the finance team.
Multi-site operations that cannot be consolidated
We run each clinic or lab as its own legal entity sharing master data such as formulary, vendor lists, and providers, while keeping financials separate. Consolidated profit and loss and cash position report in real time.
Compliance gaps discovered during an audit
We design access controls, audit logging, and data retention before go-live. Finding the gap during an OCR review is the expensive way to learn this lesson.
Why Work With Bay Forward
The firm was founded in 2014 by two former PwC CPAs, and that finance-first DNA runs through every healthcare build we ship. We are an Odoo Silver Partner with 520+ clients served across 1,400+ projects, delivered by 200+ professionals across the US, Canada, Ireland, Belgium, and Saudi Arabia. Four proof points matter most in healthcare specifically:
Finance &
Process
The billing and revenue cycle layer is designed correctly at implementation, not patched in after go-live. Most Odoo partners treat finance as an afterthought. We treat it as the point.
In-house data engineering
With AWS, Azure, and Databricks capability on staff, your Odoo data flows into governed pipelines and analytics rather than dead-end reports.
Enterprise ERP
heritage
Our team’s Oracle and NetSuite experience informs how we govern multi-entity healthcare groups, consolidation, and audit readiness.
AI-assisted
accounting
Our OneClickBooks capability, built by Bay Forward CPA, accelerates transaction entry, reconciliation, and close for finance teams running lean.
Data Governance and HIPAA Realities
Odoo is not HIPAA compliant out of the box, and any partner who tells you otherwise is selling you a problem. A standard Odoo installation does not include a Business Associate Agreement, encryption at rest, or the audit logging HIPAA expects. Compliance depends on people, processes, technology, and how the system is hosted, configured, and governed. Wherever possible, we keep protected health information in the certified EMR and use Odoo as the governed operational layer around it. This reduces the PHI footprint inside the ERP and your compliance surface. For multi-jurisdiction groups, we apply the same approach to GDPR and local health data rules alongside HIPAA and HITECH.
Hosting
Single-tenant infrastructure with a signed BAA, encryption in transit at TLS 1.2 or higher, and encryption at rest across databases, object storage, and backups.
Access control
Unique user IDs, multi-factor authentication, and role-based access so a receptionist can see appointment times without ever seeing clinical diagnoses. No shared accounts, because shared accounts destroy the audit trail.
Audit logging
Recording of who accessed or modified protected health information, when, and what changed. Retention follows 45 CFR 164.316(b)(2)(i), requiring documentation to be retained for six years from creation or when it was last in effect, whichever is later.
Emergency access.
Break-glass procedures with mandatory justification tied to the patient record.
Risk assessment
A documented risk analysis covering the administrative, physical, and technical safeguards of the HIPAA Security Rule, plus the Privacy and Breach Notification Rules.
Start Your Healthcare Odoo Project
A successful implementation requires more than configuration. It requires clear ownership, controlled decisions and measurable readiness at every stage. Bay Forward follows a structured NetSuite implementation methodology with defined deliverables, approval points and project governance.
Healthcare Odoo Questions, Answered
Not by default. Odoo can support HIPAA obligations when it is hosted, configured, and governed correctly, with a signed BAA, encryption in transit and at rest, unique user IDs and multi-factor authentication, role-based access, and audit logging retained for six years. Bay Forward builds those safeguards in rather than assuming them.
No, and it should not. Odoo is the operational and financial ERP layer. We integrate it with your certified EMR using HL7 v2 and FHIR so clinical records stay where they belong and the money and materials stay governed in Odoo.
Scope drives the timeline. A single clinic with EMR integration typically runs a few months, and multi-site networks run longer. We give a firm estimate after discovery rather than a number off a rate card.
Yes. Odoo supports multi-company, multi-currency setups where each clinic is its own legal entity sharing master data such as formulary, vendors, and providers, with consolidated financial reporting in real time.
Appointments for scheduling and the patient portal, Accounting for billing and revenue cycle, Inventory with lot and expiry tracking for pharmacy and supplies, Purchase for procurement, and HR and Payroll for staff, plus custom modules and integrations where a workflow genuinely requires them.
